# Product-wide Search

Product-wide search is one field that looks everywhere at once: contacts, companies, deals, tickets, invoices and the other records. It matters in the most common moment of the working day — you remember a name or a phone number, not the section it lives in, and you want to open that card in a couple of seconds.

## Why one field instead of a dozen filters

While there are only a few records, finding one is easy. But once the system holds hundreds of customers, dozens of deals and tickets, and more than fifteen sections, an ordinary task like “open the Abramov account” turns into a walk-through: first the contacts list, then companies, then tickets — and in every section you have to set your own filter by name. Product-wide search removes that walk: one field and one list of results instead of a dozen separate filters.

## Where the search lives

The field sits at the top of the sidebar — right under the product name and above the list of sections. As soon as you start typing, the working area switches to the “Search results” screen: everything found is gathered into one list, from the closest matches to the looser ones. Clear the query or press the clear button and you return to exactly where you were before searching.

There are shortcuts for those who work from the keyboard: the key combination puts the cursor straight into the search field, and the enter key opens the first record found. None of it is required — the mouse works just as well.

## What it finds

Search covers 34 record types — that is, every main section of the product: contacts and companies, notes and timeline events, deals, leads, quotes, orders, invoices, payments, credit notes, subscriptions and products, campaigns and touch sequences, conversations and discussions, email samples, tickets, knowledge base articles, incidents, problems, change requests, defects, assets, service contracts and sites, partners, automation processes, and your own custom record types.

Service reference lists and journals stay out of it: there is nothing to look for in run logs and settings. The gated sections — telephony, the website chat widget, the customer portal and surveys — keep their own scoped search, because each of them has its own audience.

A couple of words about how words are matched. Matching runs from the beginning of a word: the query “quot” finds both “quote” and “quotation”, while “uote” finds nothing. Case does not matter: “Abramov” and “abramov” are the same thing. A phone number is found in any familiar spelling — with or without the leading trunk digit, and with the country code.

## How to read the results

Every row answers four questions: what kind of record this is (an icon and the type — contact, deal, ticket), what it is called, what describes it, and when it was last changed. The description helps avoid mixing up similar records: for a contact it is the job title, for a company its tax number, for a deal the stage and the amount, for a ticket its number.

The order is not random. Records whose title or description matched any of the words come first; below them are those where the match was found only in the text; within one tier, the most recently changed come first. A found record can be opened straight away: you land in its section, and if that record type has a card with the full customer picture, in the card as well.

One more honest detail: what was found appears not instantly but with a delay of a few seconds. That is deliberate, so that search does not take effort away from the rest of the product’s work. In exchange, the list refreshes itself — there is no “recalculate” button to press.

## Honest limits

- **Words are matched from their beginning, not by meaning.** “Car” will not find “automobile”, and “contract with Romashka” will not find “agreement with Romashka”. You have to ask with the words that are actually written in the record.
- **Deleted and archived records are not found.** Rows from the recycle bin and archived ones do not appear in the results. Private notes are not searched either: what is hidden from the team will not surface through search.
- **A switched-off add-on leaves no trace.** While the Deals add-on is off, deals are neither in the results nor in the list of available record types. Switch the add-on back on and restart the product — the records come back.
- **Search only reads.** It is a way to look, not to change: no record is edited through it.
